SOP - How to Use Trello for Southland Alibi Submissions

Purpose

#

To standardize the process for adding editorial content to the Southland Alibi blog platform while maintaining technical specifications for images, metadata, and publishing workflows.

Procedure

1. WITH EDITORS

   #

All accepted submissions that are currently being edited should have a card listed in this column with the naming convention {submission title} by {submission author}

All cards should be labeled with the appropriate tag:
- Fiction Team for Fiction submissions.
- Nonfiction Team for Nonfiction submissions.
- etc.

For a submission to move from WITH EDITORS → READY TO DESIGN the following steps must first be complete:

1. Upload the final copyedited/approved version of the file uploaded in Trello.

2. Upload the final copyedited/approved version of the submitters bio in Trello.

3. Attach the Getty Images link to the preferred featured image in Trello.

4. READY TO DESIGN

For a submission to move from READY TO DESIGN → DESIGN AWAITING APPROVAL the following steps must first be complete:

1. Confirm receipt of a signed publishing agreement from submission author.
2. Design submission in Drupal
3. Attach website proof to the Trello card.
4. Send website proof to submission author for approval
5. Send request to marketing to attach Getty Image in Drupal.

If we design these in Canva we don’t need Getty Images step

3. DESIGN AWAITING APPROVAL

For a submission to move from DESIGN AWAITING APPROVAL → PUBLISH/COMPLETE the following steps must first be complete:

1. Editing team approves final version
2. Submission author approves final version
3. Featured Image attached to blog post in Drupal
4. Send request to marketing to review and publish submission

Can we bypass Getty Images requirements?

#

• Yes – when using Canva-created designs, omit Getty Images steps in both READY TO DESIGN and DESIGN AWAITING APPROVAL stages.

What if authors don’t return signed agreements?

#

• Keep cards in READY TO DESIGN list until agreements are received. Escalate after 14 days.
